Documentation manager work surface

One of the most important important tasks for a documentation manager at UH Sak, is to resolve deviations from closing archive files. To get an overview of all the deviations, the solution contains a dashboard with a few standard reports.

All users in ServiceNow can create their own reports and dashboards, and we encourage everyone to create their own work surface tailored to their needs.

In this document we will describe how a documentation manager can navigate to the standard dashboard and reports, as well as what the reports contain.

Open dashboard

Prerequisites

  1. User has the documentation manager role (technical role name in case there is need to contact support: x_steas_uh_core.documentation_manager)

  2. User has English as their preferred language

Procedure

  1. Naviage to Self-service > Homepage

  2. Click the “Dashboards overview” button (4 squares in a 2x2 pattern)

  3. Click the “All” tab

  4. Search for: “Documentation manager dashboard”

  5. Open the dashboard

Standard reports

The following reports are included as standard for documentation managers

Case file closures with deviations

Deviations created because of archivefile closure of a case file. If a deviation is resolved, the deviation is removed from the report.

Registry entry closures with deviations

Deviations created because of archivefile closure of a registration entry. If a deviation is resolved, the deviation is removed from the report.

Meeting folder closures with deviations

Deviations created because of archivefile closure of a meeting folder. If a deviation is resolved, the deviation is removed from the report.

Basic registration closures with deviations

Deviations created because of archivefile closure of a basic registration. If a deviation is resolved, the deviation is removed from the report.

Archivefile closures with deviations created on today

All archivefile closures with deviations created on today. If a deviation is resolved, the deviation is removed from the report.

Archivefile closures with deviations created this week

All archivefile closures with deviations created this week. If a deviation is resolved, the deviation is removed from the report.

Archivefile closures by type

All archivefile closures grouped by type. If there are no deviations for a particular case, there are no entries. If a deviation is resolved, the deviation is removed from the report.
